Position Summary Information

Job Summary

This position provides administrative support to the President’s Office, the Vice President and Chief of Staff and provides backup administrative assistance to the Assistant to the President. This position reports to the Vice President and Chief of Staff.

Major Duties and Responsibilities

President’s Office
• Handle incoming phone calls and walk-ins to the President’s Office, routing inquiries to appropriate person
• Handle all incoming mail, routing to appropriate person
• Handle all incoming email to the account, routing to appropriate person, work with Vice President & Chief of Staff for sending appropriate replies
• Assist with President’s Office functions, including scheduling meeting locations, preparing and disseminating agendas, inviting participants, arranging for food service, working with events and IT for services needed
• Assist to coordinate logistics for Board of Trustees meetings
• Attend Regis Events Meeting (REM) to stay informed about university events and to report on events happening within or related to the President’s Office
• Maintain Office of the President file system (filing and purging of old files)
• Maintain all hard and electronic files for the President’s Office
• Order supplies for office, including office supplies, business cards, letterhead and envelopes
• Maintain the president’s reserved parking calendar
• Coordinate and approve outgoing email blasts from the President’s Office
• Back up for Assistant to the President when necessary; occasional administrative support for the President when necessary
• Assist to coordinate logistics and material preparation for the Board of Trustees, taking minutes for meetings, occasional correspondence with Trustees and Committees
• Schedule and attend committees and meetings on behalf of the Vice President and Chief of Staff
• Manage check requests for President’s Office
• Maintain and develop the President’s Office website
• Manage all professional development registrations and logistics for the Office of the President

Vice President & Chief of Staff
• Assist the Vice President and Chief of Staff with committees, governance groups and other administrative requests as needed
• Calendar coordination for Vice President and Chief of Staff as well as calendaring of events for Cabinet and the President’s Advisory Council
• Assist Vice President and Chief of Staff with internal and external community outreach
• Assist VP & Chief of Staff in other areas of responsibility, including EO & Title IX compliance

Minimum Qualifications

• High school diploma required
• One year experience in administrative position

• Strong customer service and support experience within a highly visible business office, including phone, written, and personal contact
• Advanced knowledge of Microsoft Office
• Experience with project management, business or volunteer
• Experience with personal computer equipment and software

Preferred Qualifications

• Associate’s or Bachelor’s degree

• Three years of experience providing successful secretary/administrative support (support for senior level executives is especially preferred)
• Thorough knowledge of the University’s organization and operation
• Experience with event planning
